SCOPE OF APPLICATION
The terms and conditions stated in this document shall apply to the relationship between the client (hereinafter referred to as "Guest") and the local accommodations management designated as SOBRE RIBAS 2|12 from the moment the reservation is requested until the end of the accommodation period. In the absence of specific provisions, Portuguese legislation in force shall apply.
These Terms and Conditions of use, together with our privacy policy and all the information provided on our website www.sobreribas.com, govern the conditions of the services provided through our website and in our accommodations. Guests are required to be aware of the general conditions and rules concerning their stay, including operation, schedules, services provided, and other relevant information, at the time of booking.

Booking Conditions
Reservations made are subject to availability and confirmation of payment.
Reservation will preferably be made through the website, but they can also be made via email. Reservations made are subject to availability and confirmation of payment. The values of the reservation rates are those announced at each moment at the page of each accommodation.
The minimum length of stay will be two nights three (n. 12) throughout the year, although the minimum number of nights may be subject to changes.

For long-term or exceptional stays please contact us by email , the reservation will be considered confirmed according to the agreement between the management of SOBRE RIBAS 2|12 and the guest. Failure to comply with the agreed payments will result in automatic cancellation of the reservation.

The reservation holder must be at least 18 years old and must stay in the accommodation booked for the entire stay. Guests under 18 can only be accommodated if accompanied by an adult who is the holder of the reservation.
The reservation holder must provide a valid address, a telephone contact and an email address.

Payment Methods
The payment and/or cancellation fees will be mentioned at the time of booking and may vary according to the guest's rate and length of stay.
Clients can make payments for our services through the methods indicated on the website or by email. Exceptionally, other methods may be accepted, but they must be previously agreed upon between the parties.

Payment and Cancellation
The payment and cancellation policies vary depending on the length of the stay.
The rates must be confirmed at the time of booking.
In general, there are low season and high season rates. For special dates (movable holidays, events, among others), high season or special rates will be applied.

The reservation will be subject to cancellation if it is not possible to make an authorization
withholding the amount of the deposit, so it is important that the guest makes sure that his
credit card is valid and has sufficient funds. If it is not possible to retain the deposit, you will
be notified by email or SMS and will have 12 hours to try to use another payment method.
All prices include VAT at the legal rate in force.

Payment options
Payment for reservations can be made by American Express, Visa or MasterCard credit card. Upon completion of the reservation, the reservation holder will receive an email with reservation’s confirmation and with important explanations and information about the accommodation.

Accommodation Bulletin
Guests will be asked to complete an Accommodation Bulletin which is of the utmost importance for the preparation of the stay. All guest should fill out the bulletin even if they have Portuguese nationality. The Accommodation Bulletin will request namely the time of arrival, the total number of
people staying  as well as mandatory information regarding foreign and border services. Guests must indicate all data requested for the exact number of people in the Accommodation Bulletin. 
The number of guests specified in the reservation cannot exceed the number of guests present at the accommodation, or the maximum number the accommodation is licensed for. If the number of guests exceeds the limit, SOBRE RIBAS reserves the right to require guests to leave the accommodation without any compensation or refund of fees paid.

Under the terms of article 45 no. 1 (a) of the Convention for the Application of the Schengen Agreement, the accommodation of foreign citizens must be communicated to the foreign and border services, thereby understanding all those who are not Portuguese nationals.
For the purposes of the preceding paragraph, all guests with foreign nationality must provide all information regarding their identification, up to the maximum period of the check-in date, through the Accommodation Bulletin.

Any attempt to alter and/or violate the original information will invalidate the Accommodation
Bulletin and will be subject to cancellation of the reservation.

Low Season | High Season
In general, the low season dates and high season dates are as follows:
Low Season: from October 8th to December 18th; January 6th to "Easter"; from "Easter" April 7th to April 30th.
High Season: until October 7th; "Easter"; May 1st to October 7th; December 16th to January 6th.
The period defined as "Easter" is considered one week before and one week after Easter Sunday. These dates may be adjusted due to holidays or movable feasts.

Applied Discounts
10% discount for 7 days.
30% discount for stays from 30 to 90 days.
For stays longer than 90 days or for any request that does not fit into these conditions, please contact us by email.

Cancellation Conditions:
For short stays, full refund for cancellations made up to 30 days before check-in. If booked less than 30 days before check-in, full refund for cancellations made within 48 hours after the reservation and at least 14 days before check-in. After that, 50% refund up to 7 days before check-in. After that, no refunds will be issued.
For stays between 28 to 90 days, full refund for cancellations made up to 45 days before check-in. After that, the first 30 days of the stay are non-refundable. If booked less than 45 days before check-in, full refund for cancellations made within 48 hours after the reservation, after that, the first 30 days of the stay are non-refundable.
For exceptional stays, the cancellation conditions will be agreed upon in advance between the parties. A deposit will be required depending on the length of the stay.

In case the guest does not show up on the day of the reservation, it will be considered a "no-show," and the full reservation amount will be charged. An already accommodated guest may interrupt their stay without any right to a refund.
It is recommended that the guest take out travel insurance to cover any unforeseen circumstances that may cause the cancellation of their reservation.

MUNICIPAL TOURIST TAX
Starting from April 5, 2023, the Municipality of Coimbra started charging a tourist tax of €1 per person per night, up to a maximum of 3 nights for individuals over 16 years old. This tax is not included in the nightly rate and will be charged upon check-in (payment must be made in cash) for reservations made through platforms or included in the final price if the reservation is made through our website or by email.

The exceptions stated in the regulations will only be applied if the guest provides proof at check-in or requests it by sending proof at the time of booking.

Check-in | Check-out

Check-in: 3:00 PM - 6:00 PM
We do not have a permanent reception service, so we kindly request that guests inform us of their arrival time.
Note that, even if we send you a weblink for a smother registration upon check-in, guests must bring their identification documents, including citizen card or passport.

Check-out: 11:00 AM
Changes to the previously mentioned times may be allowed at the guests' request, provided that these changes do not affect other reservations and/or the cleaning work in the accommodation units or the general availability of our staff.
The guest will only be allowed to use the room after the check-out time if authorized by the management of SOBRE RIBAS 2|12, and for the authorized period. Otherwise, the guest will have to pay a compensation (one night) and vacate the room as soon as possible.

If the guest refuses to leave, SOBRE RIBAS reserves the right to enter the accommodation, remove their belongings, change the locks, and also take other measures that may be necessary. (The guest will be responsible for the costs of any such action).

Services:
Laundry
There is a shared laundry facility available to guests free of charge. This service costs €3 per washing cycle. For any questions about the operation of the machines, guests should contact us.

Accomodation Cleaning
For stays of 7 (seven) nights or more, cleaning services will be provided every 7 nights, free of charge.
For stays of fewer than 7 (seven) nights, intermediate cleaning services will not be provided unless under exceptional circumstances. Additional cleaning and/or change of linens will be provided at an additional cost of €20.00 (twenty euros), including VAT, subject to service availability.

Garbage Collection
Organic waste should be placed in the garbage bins at the end of the street near the Palácio de Sobre Ribas. Garbage is usually collected in the late afternoon, around 5-6 PM, so please place the garbage shortly before that time.
All recycling waste (plastic, glass, paper) generated by the guest(s) must be separated and will be collected during the cleaning of the accommodation units or when requested.

Terms of Use
Only the individuals indicated in the accommodation reservation are entitled to use the rented unit. Temporary stays of visitors to our guests are only allowed with prior consent from the management.
Guests should use the rental accommodation and all common areas of the property (garden and patio, stairwell, and laundry room) appropriately, with care and consideration for other guests.
All children under 14 years of age must be supervised by an adult guest at all times during their stay.
The guest must always close the doors to the building's entrance and the room door and ensure they are properly locked.
In case of emergency, the guest should call the contacts provided in the unit door and in the unit regulations.

Safety Rules
The guest(s) is/are not allowed to:
Use lit candles or other devices that may endanger people's safety and the facilities.
Smoking is not permitted inside the accommodation. Smoking is allowed in the garden.
Carry any weapon or sharp instrument that may endanger their life or others.
Create noise between 11 PM and 7 AM. Please pay special attention to maintaining silence in common areas and stairwells.
Host parties
Receive people not registered for the accommodation and their reservation, without the previous management of SOBRE RIBAS 2|12.

Damages and Losses to the Property
The guest is required to notify the management of SOBRE RIBAS 2|12 for any damages caused to the accommodation unit and/or its support facilities, as well as for damages resulting from the violation of the obligations set forth in these conditions, including attorney's fees and court costs. If the guest does not notify of such damages, can be held responsible for them.

Access to Accommodation Units
The SOBRE RIBAS 2|12 team will have the right to enter the room during the guest's stay to perform cleaning, repairs, and similar tasks, and in case of emergencies.

Responsibility of SOBRE RIBAS 2|12
SOBRE RIBAS 2|12 is responsible for ensuring adequate conditions of hygiene, cleanliness, and safety of the accommodation.
SOBRE RIBAS 2|12 is not responsible for the loss of personal belongings of the guest(s).
SOBRE RIBAS 2|12 assumes no responsibility for the loss of data provided by the client in case of electronic transmission of payment data unless there is proven negligence.
SOBRE RIBAS 2|12 will not be liable to the guest in case of delays in providing the room due to force majeure. Force majeure events include, but are not limited to, strikes, blockades, natural disasters, accidents in the accommodation, or emergencies.

In exceptional cases where it is not possible to accommodate the guest and rehousing is necessary, SOBRE RIBAS 2|12 will not be responsible for accommodating the guest in an identical accommodation unit on their property, as all their accommodation units are unique. They may offer a solution within their spaces or choose to refund the reservation to the guest.

Animals
Pets are not allowed inside the accommodations.
In our neighbourhood, there are several cats, most of them with owners, but they roam freely in the city gardens and like to visit our garden. We ask our guests not to feed them and not to let them enter the accommodation units.
In our garden, there are fish. Please do not feed them excessively, as it can harm them.

Complaints
Each accommodation unit has a complaints book and an electronic complaints book. Any complaints or suggestions should be forwarded to the management.

Notification Duty
In case of theft, property damage, fire, floods, or other damages to the accommodation unit, the guest must immediately inform the management and do everything to help resolve the situation.

Penalty Clause
The guest(s) undertake(s) to pay the amount of €50.00, in addition to the due rate per night, in case of loss or for each day of delay in returning the key to the property.
